Service

Electronic Content Management (ECM)

Turn digitised records into a searchable, governed information asset.

Digitisation solves storage. ECM makes information usable.

SYSB supports implementation of a document-management environment for digitised records, whether integrated into the client’s existing systems or hosted through a recommended platform.

  • Search & Retrieval: find documents through index fields or full-text keywords
  • Secure Viewing: role-based access and controlled downloads
  • Version Control: track changes and restore earlier versions
  • Workflow Tracking: monitor review and approval stages
  • Audit Trail: log user actions for governance reporting
Indexing in Practice

Metadata validation

Index values can be captured manually or through zonal OCR and barcode recognition. Values are checked against the scanned record before the document is released for delivery.

Indexing design should reflect how users actually retrieve records: by reference number, customer, department, document type, date, case or another controlled field.

Reporting & KPI Visibility

Reconcile production against received volume

Reporting can compare image counts and index values against the original records delivered. Larger or ongoing engagements may include dashboards for productivity, throughput by process stage, batch status and document counts over time.

  • Group and user-level productivity
  • Preparation, scanning, indexing and QA throughput
  • Batch completion and exception status
  • Monthly or agreed reporting cycles
Integration

Fit the client’s IT governance model

Existing EDMS

Upload digitised output and index data into the client’s current document system.

Shared Environment

Deliver structured folders and searchable files into an approved shared drive or repository.

Recommended ECM Platform

Host through a suitable platform where the client requires a managed document environment.
